How Does an LMS Gradebook Work?
The Gradebook in a learning management system (LMS) is a powerful tool for grading learner performance. An LMS allows you to conduct online assessments and track learner progress in real-time, including grading learner performance.
In LMS, it is possible to grade the learner based on their performance in each course. Categories can be defined to differentiate marks weightage as required. 20% weightage to assignments and 80% weightage to the online test (total weightage 100%). A Gradebook can be viewed for both individuals and all learners in a batch.
Types of Grading Systems in an LMS Gradebook
A closer look at how grading works in an LMS reveals the types of grading systems that can be configured and used.
Letter Grades
A scale is defined as a scale on which an alphabetic letter denotes a specific score range, such as 'A+' for 91-100%. Within a particular course, categories can be defined, and the score weightage can vary between categories.
If two categories are defined, 20% weightage is for assessment, and 80% is for online tests. If the learner scores full marks, 18 out of 20 on both. Then, he/she will secure an A+ Grade.
Pass/Fail
A reasonably simple grading system where weightage is split across various categories, and the learner pass/fail status is displayed based on the score they obtain. If the course pass percentage is 40% and the learner scores above 40% across both categories. Then, he/she will secure Pass Grade.
Total Points
Total points are the simple summation of all the scores achieved by the learners across a specific course. If a course contains an assessment valued at 20 marks and an online test valued at 80 marks, and the learner obtains 16 and 70, then the total points received are 16 + 70 = 86 Points. Total Points do not support category-based weightage.
No Grades
If you think a grading system is optional for your organization, the No Grades option disables all grading.
Enabling and Using a Grading System in LMS
The first step involves enabling all the Grading Systems to be selected and used for courses. This is done by accessing the Grading page in Account Settings (LMS > Account Settings > Grading).
Note: Even if all 4 Grading Systems are enabled here, for a specific course only one of the Grading systems can be used. Account Settings is a master switch that turns on/off the various possible grading system choices within courses.
Selecting Grading System
Now that the grading systems are enabled, selecting one for grading a specific course is time. To do this, navigate to a particular course in LMS > My Courses > select a course > Settings > Grade Configuration > select a grading system from the drop-down)
When selecting Pass/Fail or Letter Grades, an additional step is required to define the grade categories and their specific weightage. In this example, we define the categories as Internal, External, and Main with 50%,25%, and 25% weightage, respectively. (The weightage percentage must equate to 100% and must not exceed 100% either.) Categories are added by using the + Add Category option. Click Save once all the required updates are done.
Tagging Entities
Now that we have a grading system of choice and defined grade categories, we must tag course module entities (such as assignments) to these categories. To do this, navigate to the Module tab of the specific course and edit a particular entity of Module by clicking on the ellipsis icon > Edit.
In the Basic Info tab, select Grade Category as External (as created in the previous step) and enter the maximum marks. This step is repeated for other entities and categories (In this example, Assessment is tagged to the Main category, Assignment is tagged to External, and Session is tagged to Internal)
Grading a Learner
Once a course is published and members have joined, marks are calculated automatically or manually based on the course entity type. In the case of an online test, grades are calculated automatically based on learner performance and the marks scored for the answered questions. In the case of an assignment, marks can be entered manually by the course administrator. Head to the Modules page to grade learners.
Access the learner's list by clicking on the indicative number adjacent to the course entity for which you want to enter marks. Adjacent to the learner's name, enter the marks and hit the enter key to submit marks.
Editing Marks
In the screenshot below, only Pedro Martinez has completed the online test. Thus, marks can only be edited for him. In online tests, you can make changes or edit awarded marks when the partial marking feature is enabled, or for questions with incorrect answers and descriptive-type questions. Marks cannot be edited for unanswered and correctly answered questions.
If needed, use the Adjusted Marks feature to manually adjust learner marks (to help a learner get pass marks). Click Update Score and Recalculate grades if required.
Viewing Gradebook & Grades
To view Grades, Navigate to a specific course and the Members tab. An overview is displayed here, you can also view the complete course Grade Records by clicking on Grades. To access individual learner grades. Select one of the learner profiles here.

Recalculate or Update Learner Grades
Learner grades must be recalculated when there is a change in marks in any of the course entities; this is done to display the following:
- Correct
- Updated grades
This applies to Self-Learning and Blended Learning courses. Grades can be recalculated from the Members tab by navigating to More Actions > Recalculate. They can also be recalculated when viewing a learner's grade book (a Recalculate button appears if the system detects a possible grade change).
Recalculating Grades
In this example, the Product Management course has two learners. There is an offline test and assignment that must be graded by the Course Administrator. Now, when the course administrator has updated the marks of one of the learners (Pedro Martinez), an update in grades is required. When accessing the member's tab, a yellow indicator is shown over Pedro Martinez's grades to indicate the need for a recalculation.
The grade book is opened, and the grades are recalculated by clicking the Recalculate button. Once recalculated, the corrected grades are displayed. If you choose to recalculate grades for multiple learners simultaneously or handpick a few customized groups of learners, use the More Actions > Recalculate option from the Members tab.

You can rearrange the gradebook’s display using sorting options or assignment category filters. The key is learning to configure the gradebook to look and operate according to your needs.

Labels help provide a clearer understanding of student participation and progress in the gradebook. You can use the Excused, Missing, Absent, and Incomplete labels for each assignment to track student performance.
A great tip is to use shortcuts for these labels to make working with the gradebook easier:

Each assignment is listed at the top of the gradebook, with an icon indicating its type, a link to the assignment, and the number of associated points. To grade each assignment, click on its cell and either enter the grade.
4. Track Offline Progress and Attendance with the Gradebook
We all know how confusing it can get when students get their results from online and offline assignments. The online gradebook also tracks offline assignments like paper-based tests, attendance, or reading a book. All you have to do is create an attendance or offline assignment and grade it as I would any other online assignment. This way, I’ll avoid collecting and calculating students’ final scores from two sources.
5. Add Comments to Grades for Better Feedback
You can give students helpful feedback or instructions without leaving the gradebook page. To do this, I just have to double-click on a cell, and there will be a pop-up in which I can leave a written comment, add images, or even audio/video feedback.
Adding comments to submissions helps students improve their work and understand why they have received a particular grade.
6. View Student Submissions from the Gradebook
Leaving the gradebook and returning to it to grade assignments can be time-consuming. That’s why I like to view student submissions from the gradebook if I need to re-check something. You can hover over a grade cell and open the student submission on another page.
From there, I can click through all the student submissions, especially if I’m batch grading. You can also see that I can add more comments here, and they will show on the main gradebook display.
7. Use Rubrics to Grade Assignments
Most platforms, like the CYPHER Learning platform, have a rubrics feature that allows teachers to create, edit, save, and reuse rubrics for a straightforward grading process. Rubrics are integrated within the assignment submission page. You can create a new rubric for each assignment or reuse the ones in your Resources library if you’ve saved them previously.
When clicking the cell for an assignment with a rubric, a pop-up will open where you can select the points for each criterion. This way, your grading becomes objective and consistent when using the same rubric for similar tasks.
8. Use Competency-Based Learning in Your Gradebook
Competency-based learning lets you track your students’ understanding of the class material. This works because competencies can be added to content pages and assignments, so you’ll track how well students do on each competency.
This means you can associate a rubric with a grading scale and add competencies to the rubric. For example:
- Assignment: Climate change
- Competency: Grade 5
- Geography: Environmental protection
- Rubric criteria: Use of geography terms
- Grading scale (points): Pass - 28, fair - 42, good - 56, excellent - 70

If you need more information, each assignment has its analytics (min, max, and average grade), which is especially helpful for essential exams or tests.

I like this part the most because it offers a visual representation that helps me know when to intervene and how to adjust future assignments based on my students’ progress. If most of the class has done well on an assignment, I know that I can give them more challenging ones in the future.
